# How to require registration for a Zoom meeting with ZooMeet

For a workshop or a client session, you probably want to know who is coming before you hand out the way in. With **Registration required** turned on, visitors give their name and email first, and only then see the join buttons.

ZooMeet emails each registrant their sign-in details: their email, the meeting passcode and a link to the meeting page. Once they sign in on that page, the join buttons appear. You set it up with one switch and one passcode.

By the end of this guide, you will have:

- A meeting that asks visitors to register before they see the join buttons
- A passcode that ZooMeet emails to every registrant
- A meeting page built for sign-ups, with the Guestlist theme
- A clear idea of what visitors see, from the sign-up form to the join buttons
- Answers for the messages visitors may run into

**Estimated setup time:** 5 minutes. **Registration required** is a switch on the meeting, so you can turn it off again later.

**Note:** Requires ZooMeet Pro. Without Pro, the **Registration required** switch shows a lock.

## Before you begin

Make sure you have:

- ZooMeet and ZooMeet Pro installed and activated
- A connected Zoom account. See [How to connect Zoom with ZooMeet using Server-to-Server OAuth](https://sovlix.com/docs/connect-zoom-with-zoomeet/).
- An administrator account, or a member account that may create meetings
- A site that can send email, because registrants get their sign-in details by email

Let's get started.

## Step 1: Start a new meeting (Name and type)

Registration works on any meeting, new or existing. Here you start a new one. To add registration to an existing meeting, open it from **All Events** and go to Step 2.

1. In the WordPress admin menu, go to **ZooMeet** > **Add New Event**.
2. In **Name and type**, keep **Meeting** and type a **Meeting name**, for example **Client Onboarding Workshop**.
3. Add an **Agenda** if you like. ZooMeet sends it to Zoom with the invite.
4. Set the date and time in **Date and time**, as for any meeting.

The steps on the left let you jump to any part of the form. Your answers stay as you move between steps.

## Step 2: Turn on Registration required and set the passcode (Access and controls)

The passcode is what registrants type to sign in on the meeting page. ZooMeet sends it in the registration email, so visitors never need to ask you for it.

1. Click **Access and controls** in the steps on the left. The heading reads **Who can join?**
2. Check the **Passcode**. ZooMeet fills in a random one. You can type your own, up to 10 characters.
3. Turn on **Registration required**. Its hint reads "Attendees sign up before they get the link."

The same passcode protects the Zoom meeting and the sign-in form on your site.

**Security note:** Anyone with the passcode and a registered email can see the join buttons. Use a new passcode for each meeting rather than reusing one.

On a webinar, **Registration required** opens two more options that ZooMeet passes to Zoom: **Approval** (**Automatically approve** or **Manually approve**) and **Email registrants about approval changes**.

**Note:** If the meeting is sold as a WooCommerce product, only people with a ticket can register. Everyone else sees **Please buy a ticket to register for this event.** See [How to sell Zoom meetings with WooCommerce and ZooMeet](https://sovlix.com/docs/zoomeet-sell-zoom-meetings-woocommerce/).

## Step 3: Pick a sign-up friendly page and create the meeting (Page design)

Any meeting theme shows the registration forms. The **Guestlist** theme is built around them, with a big headline, the agenda and the host beside the sign-up card.

1. Click **Page design** in the steps on the left.
2. In **Event theme**, pick **Guestlist**.
3. Add a **Description** and a **Thumbnail** if you like.
4. Click **Create meeting** at the top right, or **Update meeting** for an existing meeting.

## Step 4: Check the meeting page as a visitor

Administrators always see the join buttons, so check the page in a private browser window to see what visitors see.

1. Go to **ZooMeet** > **All Events**, open the **•••** menu on the meeting and click **View event page**.
2. Copy the page address and open it in a private browser window.

## What visitors see

When **Registration required** is on, visitors do not see the join buttons at first. They see a sign-in form and a register form instead.

- The forms' heading is **Sign in or Register for the Event**. Some themes use their own heading, such as **Save your seat** in Guestlist.
- People who already registered fill in **Event Email** and **Event Password**, then click **Sign in to Event**.
- New visitors fill in **Your Name** and **Your Email** under **OR**, then click **Register for Event**.

### Registering

A visitor only needs a name and an email to register.

1. The visitor fills in **Your Name** and **Your Email**.
2. They click **Register for Event**.

ZooMeet checks that both fields are filled in and that the email looks valid.

When registration succeeds, three things happen:

- The form shows **Registration successful. Credentials sent to your email.**
- The name and email fields clear, and the **Register for Event** button hides, so the same person is not registered twice.
- ZooMeet emails the visitor with the subject **Event Registration Details**. The email lists their **Email**, the **Password** (your meeting passcode) and a **Click here to join** link to the meeting page.

The message appears above Your Name, and the register fields are cleared. The visitor now checks their inbox for the password.

If registration fails, the form shows the reason from your site, for example **Please enter a valid email address.**, **Registration is not open for this event.** or **Too many attempts. Please wait a few minutes and try again.**

### Signing in and joining

1. The visitor opens the link in the email.
2. They type their email and the password from the email into **Event Email** and **Event Password**.
3. They click **Sign in to Event**.

The page reloads. The forms are gone and the join buttons show, with the countdown.

**Note:** A successful sign-in lasts one day in that browser. After that, the visitor signs in again with the same email and password. ZooMeet keeps the sign-in in a secure, signed cookie, so people who signed in before this update need to sign in once more.

If the email has not registered for this meeting, or the password is wrong, the form shows **Invalid email or password**. It never says which of the two is wrong, so nobody can test which emails registered.

The email has not registered yet, or the password is wrong. A new visitor registers first, with the form under OR.

### Embedded meetings

The same forms replace the join buttons when you embed the meeting with `[zmeet-zoom-meeting id="…"]`. Until a visitor signs in, the embed hides the countdown and the **Details** box too. ## Where to see who registered

ZooMeet keeps each registrant's email on the meeting, so they can sign in. There is no separate list screen, and the name is only used in the email greeting. If you need a guest list, ask registrants to forward their **Event Registration Details** email, or collect sign-ups through a form plugin.

## Benefits of registration in ZooMeet

- **No details to send by hand:** the **Event Registration Details** email goes out the moment someone registers.
- **Hidden join buttons:** **Join in browser**, **Join in Zoom app** and the Zoom link stay hidden until a registered visitor signs in.
- **A page that sells the session:** the Guestlist theme puts the sign-up card next to your agenda and host.
- **One sign-up per meeting:** a registrant signs in with the same details every time.

## Troubleshooting

### The Registration required switch is locked

**Registration required** needs ZooMeet Pro.

1. Activate ZooMeet Pro.
2. Reload the meeting form.

### The visitor sees "Email already registered"

That email has already registered for this meeting.

1. Ask the visitor to find their **Event Registration Details** email.
2. Ask them to sign in with that email and password in the sign-in form.

### The visitor sees "Invalid email or password"

The email has not registered for this meeting, or the password does not match the meeting **Passcode**.

Check that:

- The visitor typed the same email they registered with.
- The visitor registered first, with the form under **OR**.
- The visitor copied the password from their email, without extra spaces.
- You did not change the **Passcode** after they registered. If you did, send them the new one. Changing the passcode also signs everyone out.

### The visitor sees "Please buy a ticket to register for this event."

The meeting is sold as a WooCommerce product, so registration needs a ticket. Ask the visitor to buy the product and sign in to your site with the account they bought it with.

### The visitor sees "Registration is not open for this event."

**Registration required** is off on this meeting. Turn it on in **Access and controls** and click **Update meeting**.

### A visitor who signed in before has to sign in again

ZooMeet now keeps the sign-in in a secure, signed cookie. Older sign-ins stop working once, so the visitor signs in again with their email and password. After that it works as before.

### The visitor never got the registration email

ZooMeet sends the email through your WordPress site, so the problem is usually email delivery.

Check that:

- The visitor looked in their spam or junk folder.
- Your site can send email. An SMTP plugin often fixes delivery problems.
- The visitor typed their email correctly. If not, they can register again with the right one.

### The visitor sees "Your session has expired. Please reload the page and try again."

The page was open for a long time or served from an old cache.

1. Ask the visitor to reload the page and register again.
2. If it keeps happening, clear your page cache.

If the form shows **Registration failed. Please reload the page and try again.**, your site did not answer. Reload the page and try again.

### The visitor still sees the forms after signing in

The sign-in lasts one day in one browser.

Check that:

- The visitor uses the same browser they signed in with.
- The browser allows cookies for your site.

## Frequently asked questions

### Does every registrant get the same password?

**Yes.** The meeting has one **Passcode**, and ZooMeet emails it to everyone who registers.

### Can I make every new meeting registration-only by default?

**Yes.** Turn on **Registration required** in **ZooMeet** > **Settings** > **Events**. Its hint reads "Attendees register with a name and email before they get the join link." See [How to set default meeting settings with ZooMeet](https://sovlix.com/docs/zoomeet-default-meeting-settings/).

### Do administrators need to register?

**No.** Administrators always see the join buttons, which is why you test in a private window.

### Is registration the same as Page access?

### What happens if ZooMeet Pro is turned off later?

The registration forms disappear, so every visitor who can open the page sees the join buttons until Pro is active again.

## Security best practices

- Use a new **Passcode** for each meeting, and change it if it is shared publicly.
- Combine registration with **Page access** when only members should see the meeting at all.
- Registrants' emails are personal data. Delete meetings you no longer need, and mention registration in your privacy policy.
- Send email through a trusted service, so the registration email is not marked as spam.
- Check what visitors see in a private window, not while logged in as an administrator.

## You're ready to run meetings with registration

Your meeting now shows its join buttons only to people who registered and signed in. Each registrant gets their sign-in details by email. Next, set defaults so new meetings start this way, or control who can open the page at all.
